Upgrade and renew
You buy, upgrade and renew a plan in the Aimy Hub, not inside the expert pages.
Plans do not renew by themselves. Each one runs for the period you paid for, which is one month or twelve months, and then it ends. Nothing is charged to your card again unless you buy again. For what each plan includes, see Plans.
Who can change the plan
The organisation owner is the only person who can buy or change a plan. If no owner is recorded, any admin can. Other admins can open the plans and read everything, but the buttons do not work. A note at the top of the plans page says You can compare plans, but only the owner's name can change your organisation's plan. Buying credit can be given to other people. See Buy extra credit below.
On the hub Subscriptions page, a person who is not allowed to see plan details gets a short line on the Aimy Expert card instead: Covered by your organisation's plan. Plan changes are made by followed by the owner's name.
Upgrade to a bigger plan
- Open the account menu at the bottom of the sidebar and choose Upgrade plan. If you are already on Professional, the same row reads Adjust plan. The plans open in a new tab.
- If you want to see what you would gain first, choose Upgrade to Pro in the sidebar. It lists everything Professional adds next to what you have now, and its Upgrade to Professional button goes to the same place.
- Choose Monthly or Yearly at the top. Yearly is paid once for twelve months. If you already have a plan, the page opens on the billing period you are on.
- On the plan you want, choose its button, for example Upgrade to Professional.
- On Confirm your order, check the bill. It shows the plan, the Subtotal, any Credit, SST (8%) and the Total.
- Enter a Voucher code if you have one. It is optional. See Voucher codes.
- Tick the box to agree to the Terms & Conditions, the Privacy Policy and the PDPA Notice. The second box, for product news and offers, is optional.
- Choose Continue to payment. You pay by card on the payment page. Back returns you to the plans.
The upgrade starts as soon as the payment goes through. Your experts are switched back on, and the new limits apply.
If you pay for an upgrade partway through a plan you already paid for, the days you have not used are credited against the new price. The bill shows it on a Credit line, with the number of unused days. A total of RM 0.00 needs no card.
What the buttons mean
Each plan card shows the one move that is open to you.
| Button | What it means |
|---|---|
| Get Started | You have no paid plan yet, so this plan is open to you. |
| Upgrade to followed by a plan name | A bigger plan than the one you have. |
| Renew followed by a plan name | The same plan again. It opens in the last 7 days before your plan ends. The new period starts after the current one, so you lose none of the days you have left. |
| Current plan, renews in a number of days | Your current plan, too early to renew. It becomes Renew in the last 7 days. |
| Switch to a plan name Yearly | Moving from monthly to yearly billing, on the same size of plan or a smaller one. See the next section. |
| Too many experts to switch | You have more active experts than that plan allows. Delete some first. |
| Not available | That move is not offered. See the next section. |
The same moves appear on the hub Subscriptions page as a single button on the Aimy Expert card. A Business owner sees Upgrade. A Professional owner sees Adjust plan. Both open the plans page.
Moving to a lower plan
There is no mid period downgrade on the same billing period. You paid for the period, and you keep everything in it until it ends. A move to a smaller plan on the same billing period shows as Not available, and a yearly plan cannot be changed to monthly, because a year is paid up front.
There is one exception. If you pay monthly, you can move to a smaller plan partway through, as long as you switch to yearly billing at the same time. For example, a monthly Professional subscriber can choose Switch to Business Yearly, provided their active experts fit within what Business allows. If they do not fit, the button reads Too many experts to switch until you delete some. The days you have not used on the monthly plan are credited against the new price, and the bill shows them on a Credit line.
Otherwise, to end up on the lower plan, let the current plan run out, then choose the lower plan when you buy again. Before you do, make sure you fit inside it. Business has fewer experts, fewer members and less storage, and it has no integrations.
When a plan ends
The Hub shows Expires and the date for your plan. In the last 7 days before it, we email the account to remind you to renew. Once the plan has ended:
- Your experts are switched off and stop answering.
- Your documents and settings are kept for 30 days.
- Buying a plan again during those 30 days switches your experts back on.
- If you do not, the account and its data can be deleted after the 30 days. We send a warning email 10 days before that.
After you pay
When the payment goes through you land on a page titled Payment Successful. It lists the order number, the plan, any Prorated credit and Voucher discount, the Amount paid and a status. Download Receipt gives you the receipt as a PDF, and the same PDF is emailed to you. A second button, Go to followed by the product's name, takes you back to the product. If your payment has been received but your plan is still being switched on, the page says so. It usually catches up within a few minutes, and refreshing the hub dashboard shows it.
If you close the payment page or choose to go back, you land on Payment cancelled, which says nothing was charged and your plan has not changed. Choose Try again to return to the plans, or Back to subscriptions.
Where to see your plan and payments
- Subscriptions in the hub shows your plan, the billing period, when it expires, and how much of your experts, seats and storage you have used.
- Billing in the hub lists your payments, newest first, up to the latest 100. The columns are the date, the App, the type (a plan or a top up), the order number, Bought by, the amount and the status. The status is Completed, Pending, Failed or Cancelled. A completed payment has a Receipt link that opens the receipt as a PDF. A pending order is one that was started but not paid. It has Retry, which takes you back to the plans for that product, and Cancel, which ends the order. Nothing is charged for a pending, failed or cancelled order.
Only some people can see these pages. The organisation owner always can, and the owner can give the same view to others.
The Needs attention page
Needs attention in the hub sidebar lists things on your account that are waiting on you. It is not the same as the Expert Dashboard, which is about your experts and their answers. This page is only about your plan and payments.
Only the person who can change the plan sees it, which is the owner. Everyone else does not see the sidebar row, and opening the address sends them to the hub dashboard. When something is waiting, a number appears on the row. Each finding has a button that goes to the place where you can fix it. The page lists the most urgent first, and it can show:
- No active plan, with Choose a plan.
- Your plan has expired, with the date it ended and Renew.
- Plan expires in a number of days, shown in the last 7 days before the end. It reminds you that nothing renews automatically. The button is Renew.
- Every seat is taken, when no one else can be invited.
- Expert limit reached, when you cannot create another expert.
- Storage is nearly full from 90 percent, and Storage is full at 100 percent.
- A payment failed, or a number of failed payments, from the last 30 days. Nothing was charged.
- An unfinished checkout, or a number of them, from the last 30 days. These were started but not paid, and no charge was made.
The seat, expert and storage findings offer See plans, because a bigger plan is the only way to get more of them. The payment findings offer See billing. When nothing is waiting, the page says All clear. with a Back to your apps button.
Buy extra credit
Credit is for when you use up a month's allowance before the month ends. It adds to your plan and does not replace it, so you need a plan first. You will find your balance on the Usage page, under the allowance, with a Top up link.
- Choose Top up on the Usage page, or choose Top up credit in the hub. The page is titled Need more credit?.
- Pick RM 50, RM 100 or RM 250, or choose Other and type your own amount in ringgit. The page states the smallest amount it accepts. For more than RM 10,000, contact us. Under each preset you may see a rough number of questions, such as ~120 questions. It is an estimate from your own recent use, so it only appears once there is enough use to base it on.
- Check the panel that appears. It shows the Credit, the SST (8%) and the Total due.
- Tick the box to agree to the terms and choose Continue to payment. Once you have picked a valid amount, the button reads Pay followed by the total and now. You pay by card on the next page.
Credit is valid for 12 months and does not renew by itself. It is spent oldest first, and only after your plan's monthly allowance runs out. About 30 days before a batch of credit expires, we email the person who manages billing to say how much is left and when it ends. Anything unused on that date is lost.
The owner can also let other people buy credit. If you cannot, the page says You don't have permission to buy credit and tells you who to ask. If your organisation has no plan yet, it says Subscribe to a plan first and links to the plans.
