Governance

Governance is one page that shows how locked down your workspace is. It collects the controls that are spread across other pages, such as who can suggest knowledge, who can reach which expert, and how long records are kept, and shows what each one is set to right now.

Open it from Governance under ACTIVITY in the sidebar.

Governance is a report. You cannot change anything on it, and the Governance permission only lets someone read it. Each row names the page where that control is changed, in the Where it's set column, and clicking the row takes you there. To change it, you need whatever that page asks for, which is listed under Where each control is changed.

Who can open it

The workspace owner can always open Governance. Other admins can open it only if the owner has given their account type the Governance permission, which is off by default. An admin without it still sees Governance in the sidebar, dimmed, and the tooltip names the owner to ask. Granting the permission is done on Accounts under PEOPLE. See Account types.

This is about permission, not plan. Every plan has the page.

The governance level

The page title carries a level in brackets, either Governance (Standard) or Governance (Advanced).

You do not choose the level, and nobody grants it. It follows your plan. Governance is Advanced when your plan lets you create and edit teams and roles, which is Professional. Otherwise it is Standard. It works this way because teams and roles are the heart of advanced governance. Strict mode, which depends on teams, and the readable audit log come with the same plan, so the level can never claim more than the controls underneath it.

On Standard, a banner says Your controls are all in force. Everything your plan includes is working. Advanced adds teams and roles, strict mode, a readable audit log and a configurable suggestion cap, and the banner links to upgrade.

What the table shows

The table has three columns: Control, State and Where it's set. Controls that are part of Professional carry a Professional tag. On Business they appear dimmed and cannot be clicked, but their state is still shown, because "off because nobody turned it on" and "off because your plan does not include it" are different things.

Knowledge

  • Knowledge approval is On or Off. When it is on, members can suggest knowledge and an admin approves it before an expert uses it. The row says how many of your experts are accepting suggestions. Set on Suggestions.
  • Daily cap per person is how many suggestions one person can send in a day, or No cap. Every plan has a cap in force. Changing it is on Professional, so on Business this row is dimmed. Set on Suggestions.
  • Muted contributors counts people an admin has stopped from sending suggestions. Set on Suggestions.

People & access

  • Account types shows how many account types the workspace has and how many of them give admin access. It points to Accounts, where the owner decides what each type can do. See Account types.
  • Expert access says whether everyone reaches every expert, or how many people are restricted to certain ones. The column points to Members.
  • Teams & roles counts your teams and roles, or says Not configured. A team says which shelf you can reach, and a role says how high on it. Set on Teams & Roles.
  • Strict mode is On or Off. When it is on, a document with no team reaches nobody. When it is off, it can be reached across the workspace. The row also counts how many documents currently have no team, which is how many would be affected by switching it on. Set on Documents.

Oversight

  • Audit log reads Readable with the number of days it is kept (365 on Professional), or Recording · not readable on Business, where it is kept for 30 days and the row does not open anything. Your workspace records every action either way. Reading it is on Professional. See Audit logs.
  • Conversation history says how many days conversations are kept, 30 or 365. See History.
  • Usage & activity says how many days back usage is reported, and whether you can break it down and download it. See Usage.

Use Governance when someone asks "who can see what, and for how long?" It gives you the answer on one screen, and it cannot drift from the real settings, because it reads them from the pages that own them.
