Templates

A template is an expert that has already been set up for a department, with a suggested persona, starter questions and rules. It saves you from facing a blank form. You add your own documents, change whatever you like, and create the expert.

Finding a template

Open Experts in the sidebar, then Templates. The cards are grouped by department. Use the search box on the left to search by what an expert answers, for example leave, invoice or visitor, and not only by its title. The Departments list under it narrows the cards to one department, and All shows every department in turn.

Each card shows a title, a short summary, how many starter questions it comes with, and how many rules. Templates are available on every plan.

Creating an expert from a template

Select a card. The next page shows everything the template will set up, and every part of it can be edited before you create anything.

  1. General. Change the Name and, if you wish, the Description. The description is filled in with the template's summary and can be up to 40 words.
  2. Documents. Tick the documents the expert should read. The note under the heading says which kinds of document suit this template. You can search your knowledge base, or use Upload to add a file right here. Documents that are still being read appear once they are ready.
  3. Persona. A suggested name, role, tone and instructions. They are a starting point, so change any of it, especially the name.
  4. Rules. Suggested rules for this department, each with a tick box, a title and its wording. Untick any you do not want, or edit them.
  5. Starter questions. Up to four, shown as buttons on the start screen. Blank ones are dropped.
  6. Settings. Shows the model the expert will start on, and lets you set Show sources, Search the web and Accept suggestions. You cannot choose the model on this page. You can change it afterwards in the expert's Settings.

When you are ready, select Create this expert. Aimy then opens the new expert on its Configure page, where you can keep adjusting it.

At least one document must be ticked. The button stays off until you tick one, because an expert with no documents has nothing to answer from.

What happens to the rules

The ticked rules are saved as shared instructions, so you can reuse them on other experts. If you already have an instruction with the same name, Aimy reuses it and does not make a copy. After you create the expert, a message tells you how many new instructions were made and how many you already had.

Shared instructions need the Professional plan. On Business the rules are shown with a note saying so, they are not added, and the expert is still created with everything else.

When you cannot create one

  • If you have reached the number of experts your plan allows, a notice at the top says so. You can still read every template. Delete an expert or upgrade to create another.
  • If your workspace has no active plan, no new experts can be created.
  • Creating an expert needs the Create & manage experts permission, which comes from your account type. See Account types.

For everything you can change on the new expert afterwards, see Creating and editing experts.
