Finding your way around
You work in two places. The admin area is where you run Aimy Expert: your documents, experts, people and settings. The hub is the account side, where you buy plans, pay, see receipts and open your products. This page shows how each one is laid out, so you can find things quickly.
The admin sidebar
The sidebar down the left of the admin area starts with Dashboard, which sits on its own. Everything else is grouped under four headings, each in its own colour.
- Your expert holds Knowledge Base (with Documents, Suggestions, Chat uploads and Restrict documents), Experts (with All experts, Configure, Templates, Instructions and Actions) and Chat.
- Activity holds Insights, History, Usage, Governance and Audit Logs.
- People holds Access (with Members, Add member, Teams & Roles and Accounts) and Handoff.
- Connect holds Integrations and Provider.
Rows with a small arrow beside them, such as Knowledge Base, Experts, Usage, Access and Integrations, open and close a group. Click the row to open it. Each group remembers whether you left it open or shut.
A waiting suggestion shows as a number on Knowledge Base. It is the only number in the sidebar, because it means a colleague is waiting for an admin to review it.
Chat opens the chat in a new tab. Hover over the row and click the three dots to choose Open in this tab or Reload chat.
Rows you cannot open
The sidebar shows features your plan or your role does not give you, instead of hiding them. A row you cannot open is dimmed and does not respond to clicks. Hover over it and a tooltip tells you why.
- Plan. A feature that needs Professional carries a small Pro chip. The tooltip says what Professional adds. If your plan includes none of the integrations, the whole Integrations group shows as one dimmed row, not a long list of dimmed ones.
- Permission. Governance and Audit Logs stay visible even when you may not open them. The tooltip names the workspace owner, who can give you access.
When something is locked by plan, an Upgrade to Pro row appears at the bottom of the list. It opens a page listing everything Professional adds. See Plans for the full comparison.
Collapse, resize and the phone menu
- Collapse. Click the three line button next to the logo to shrink the sidebar to a rail of icons. Click it again to open it. The admin area remembers your choice in this browser.
- Resize. Drag the thin handle on the sidebar's right edge to make it wider or narrower, between 200 and 400 pixels. Your width is remembered in this browser. If you prefer the keyboard, click the handle and use the left and right arrow keys to move in steps of 16 pixels. Home goes to the narrowest width and End to the widest. Double click the handle, or press Enter on it, to go back to the default width.
- On a phone. The sidebar becomes a drawer. Tap the menu button in the top bar to open it, and tap outside it, or choose a page, to close it. The collapse button and the resize handle are not used on a phone.
The account menu
At the bottom of the sidebar is a button showing your organisation's name and your plan, for example Business plan. Click it to open the account menu. It shows your email address, then:
- Settings opens the admin Settings window, described below.
- Switch theme flips between light and dark.
- Submit a ticket opens the Support area of the hub in a new tab. It lands on My tickets, and Form in the hub sidebar starts a new ticket. See Service levels and support.
- Getting started reopens the setup guide.
- Upgrade plan opens the plans in the hub. If you are on Professional, this row reads Adjust plan. See Upgrade and renew.
- Hub takes you to the hub.
- Sign out signs you out.
The Settings window
Choose Settings from the account menu. The list on the left has a Search box. Type a word such as dark or accent and the window jumps to the pane that holds it. Press Esc, or click outside the window, to close it.
- General shows your Workspace name. It is read only here.
- System has two settings. Appearance offers Match your system, Light and Dark. Accent colour offers seven choices: Aimy Blue, Teal (classic), Violet, Emerald, Amber, Rose and Graphite. Both apply straight away and follow your account, so the hub looks the same.
- Account shows your avatar, Full name and Email. You cannot edit them here. Choose Manage your account at the bottom of the list to open your profile in the hub.
The hub sidebar
The hub has the same kind of sidebar, and you can collapse it and resize it the same way. From top to bottom it holds:
- Dashboard, where you land.
- On Cloud, the products that run on Aimy's servers, including Aimy Expert. Click a product to open it in a new tab. A product you cannot open is dimmed.
- On Prem, the same products when you run them on your own hardware. Click the heading of either group to fold it.
- An Account heading with Needs attention, Profile, Subscriptions, Billing, Top up credit and Support. Support opens into My tickets and Form.
Needs attention appears only for the person who can change the plan, and shows a number when something is waiting. Upgrade and renew lists what it can show.
The account button at the bottom shows your name and email. Its menu has Settings, Switch theme, Submit a ticket and Sign out.
The hub dashboard
The dashboard greets you by name and shows one card for each product. Each card has a pill in the top corner that says where you stand with that product.
| Pill | What it means |
|---|---|
| Active | Your organisation has a live plan. The card shows the plan name, when it expires and how much of your experts, seats and storage you have used. People without access to billing details see a short line saying the plan is covered by the organisation and who manages it. |
| Included | The product comes with your account and there is nothing to buy. |
| Not subscribed | Your organisation has no plan for this product yet. The button reads See plans if you can buy, or See what this includes if you cannot. |
| Under maintenance | The product is being worked on. The card shows a note, and a greyed bar replaces the button until it is back. |
| On prem only | The product exists only as a version you run on your own hardware. The button explains this and points to the On Prem section. |
| No access | The product is not on your account, and no plan would change that. The card tells you to ask Aimy to add it, and its button is Ask about access. |
| Coming soon | The product is not open yet. A greyed bar replaces the button. |
A card you can open has a button that starts with Open, followed by the product's name.
When your organisation has no plan at all, a banner at the top of the dashboard says Pick a product to get started, with See what is included and Talk to us first buttons. If you are a member and cannot buy plans, the banner says Your organisation has no plan yet instead. It names the person to ask, and offers See the products and Contact support.
When a product will not open
If you follow a link to a product and see No access to this app, one of three things is true. Your organisation has no plan for it, your account has not been given access, or the link points somewhere that no longer exists. Choose See plans to check what your organisation has, or ask whoever manages billing. Back to your apps returns you to the dashboard.
The hub Settings window
Choose Settings from the account menu at the bottom of the hub sidebar.
- Appearance has a Theme row with Light and Dark, and an Accent colour row with the same seven colours as the admin area. Both follow your account, so Aimy Expert uses the same look.
- Account shows your Name and Email, and the organisation you belong to for each product. It is read only. Choose Open your profile to change your details. See Create your account.
